Terms & Conditions - Hotel Reservations

General Information and Photos

The hotel information, photos, and descriptions of amenities and products on our website are provided by our suppliers. We are not responsible for any inaccuracies or changes due to outdated or incorrect information provided by them. Particular requests like smoking/non-smoking rooms or views like lake-view/garden-view are also requests only and not guaranteed. Hotels usually make the effort of doing so, but we cannot assure that they can comply.

Special Fares and Membership

Some special fares require a specific membership, such as corporate, government along with AAA, or AARP. The designated member must be present at check-in and provide proof of eligibility if you book one of these rates. Hotels have no duty to respect such special rates in the event that you fail to qualify or fail to provide the required identification. Neither Sailcost.com nor the hotel supplier will issue a refund for unused rooms or nights due to early check-out.

Additional Hotel Services

Some hotels provide extra services, such as transporting people to the airport or a bonus of free services, such as breakfast or tours. You should get in touch with the hotel and ensure the availability and prices of such services. It is the hotel and not us that provides these services.

Pet Policy

You must contact the hotel directly to confirm their pet policy, including any fees along with restrictions or regulations on the type, size, or breed of pet. Sailcost.com is not responsible for a hotel's pet policy.

Pre-Paid Reservations

Pre-paid reservations are typically charged to your credit card at the time of booking. This charge covers only the base amount for the room reservation and does not include additional fees such as resort fees along with energy surcharges, cleaning fees, or mini-bar charges. Incidental costs, including but not limited to meals, movies, games, parking, or phone calls, are applied daily and are exclusive of your prepaid booking amount.

Pre-Paid Booking Vouchers

Some hotels require a voucher at check-in. In such cases,Sailcost.com will provide you with a voucher to give to the hotel staff. You will receive your hotel confirmation and any necessary vouchers in the confirmation email from us. Please remember to print a copy and bring it with you to check in.

Meals

Meal arrangements are based on your selection during the booking process. If you book an all-inclusive hotel and pay for all meals at the time of booking, you will receive all meals accordingly. Some accommodations, such as apartments, may offer self-catering options.
Common meal abbreviations include:
  • Room Only (RO): No meals are included in the booking price.
  • Self-Catering (SC): No meals are included, but you have the option to cook your own.
  • Bed & Breakfast (B&B): Breakfast is included in the booking price.
  • Half Board (HB): Breakfast and an evening meal are included. You may be able to substitute breakfast for lunch upon arrival, subject to the hotel's confirmation.
  • Full Board (FB): Breakfast, lunch, and an evening meal are all included.
  • All-Inclusive (AI): All meals and locally produced drinks are included, along with certain entertainment and non-motorized water sports offered by the hotel.

No-Show Policy

A "no-show" occurs when you do not check in to the hotel without notifying them in advance. In this situation, you must contact the hotel directly. It is at their discretion whether to charge you a penalty or forfeit your deposited amount.

Hotel Confirmation

After you make a booking, it can take up to 24 hours for hotels to issue vouchers and confirm reservations. The booking process begins once you receive a confirmation email from us. Our travel experts will start the reservation process with the hotel and will send you a final confirmation once we receive it from them. This final email will contain your booking reference number along with the itinerary and details of any additional services you booked. If you don't receive this confirmation, please call our support team. We also suggest that you call the hotel directly to confirm your booking 24 hours before your check-in time.
A hotel normally gets booking information 72 hours prior to check-in. On the occasion your reservation is assured, you will be sent a final confirmation with a booking voucher. We suggest that you make contact with the front desk of the hotel three days prior to your arrival to confirm the details.

Hotel Changes, Cancellations, and Refunds

You have to call our customer care number or you can email us if you have to amend or cancel your reservation. It is important to remember that there are special policies used during high-demand or peak seasons (major events or holidays), and in this case, you have to get in touch with the hotel to ask them specifically about their policies.
  • All modifications or cancellations are subject to availability. Sailcost.com also levies a cancellation fee in addition to any charges from the hotel.
  • Changes to dates, a reduction in the number of rooms, or other amendments may incur a fee based on hotel policies.
  • No property issues credit for unused rooms or nights due to an early departure.
  • For an extended stay, you must make a new reservation, and the original booking rate cannot be guaranteed.
  • Any refund for an early departure or no-show is at the discretion of Sailcost.com and the supplier.
  • We reserve the right to seek compensation for any losses, costs, or damages we incur due to a cancellation made by you.
You must contact us if you face any issues during check-in or check-out.

Payment, Taxes, and Fees

In addition to the hotel booking cost, your credit or debit card may be charged for applicable taxes and fees. These charges are an approximate amount used to cover what we pay to the hotel to confirm your booking. Taxes owed by the hotel may include, but are not limited to, sales, occupancy, room tax, and VAT. Some destinations also impose a government tax that must be collected and remitted. This tax may differ from the amount we charge you. We retain the balance of taxes and fees as compensation for our services and profit.
For any new reservation, Sailcost.com charges a booking service fee, which varies based on the hotel's star rating. This fee is non-refundable in the case of any changes or cancellations.

Sailcost.com does not collect or remit taxes to tax authorities. Our suppliers are vendors who bill us for taxes, which we then pay to them. We are not co-vendors or associated with them beyond making your reservations. The tax rates we apply vary depending on the location of your booking.
Currency conversions are based on approximate exchange rates and should be used as a guide, not an exact amount. The applicable tax rates are dependent on the room charges. The hotels collect payments on a per-night, per-room basis. Incidental payments, such as for meals, movies, games, parking, or phone calls, are collected regularly by the hotel from the guest.

Source of Inventory

As a booking agent, we are not responsible for any errors except for those made by us. These Terms & Conditions are governed by U.S. law. Unless a hotel supplier specifies that their contract is governed by the laws of another country, U.S. law will be applicable in the event of a dispute. In such cases, you agree to deal with the State of California, USA. Any dispute regarding a booking made through Sailcost.com will be handled according to these Terms in the State of California, USA.

Any attempt to do so is a breach of this Agreement, and we reserve the right to ban you from using our website. Only we have the right and permission to use our Intellectual Property.

  • Use someone else's name along with the user ID or password without their consent.
  • Post any unlawful, threatening, defamatory, obscene, libelous, indecent, pornographic, or inflammatory material on Sailcost.com that could result in a civil or criminal proceeding.

The airlines and other suppliers that provide services via our website are independent contractors with no connection to us or our employees. Sailcost.com is not liable for any acts, errors, omissions, misrepresentations, breaches, or negligence made by a supplier. We are not liable to issue refunds in the case of any delay, cancellation, force majeure, or any event beyond our control.
Our suppliers are not liable for any damages that may result from damaged equipment while you are browsing or downloading any material from Sailcost.com.
We, our suppliers, and our distributors are not responsible for any injury, loss, claim, damage, or any special, punitive, indirect, incidental, or consequential damages you may incur. This includes the loss of profits, even if we were advised of the possibility of such damage.
Our suppliers will not pay you an amount that exceeds the total charges you paid for the itinerary booked. If you wish to file a claim or take action related to the use of our website or services booked through us, you must do so within 6 months from the time of booking. We are travel agents who promote, sell, and accept bookings for our suppliers, and our employees are only responsible for damages to the maximum extent permitted by law. This also includes your inability to access the website or the services we offer and sell.

Submissions

You must not include any content in your Submissions that does not align with moral rights. You hereby agree that you have no objection to Sailcost.com publishing, using, modifying, or deleting your Submissions. We are not liable for the content of your Submissions. Taxes and Fees

We charge a 14.5% Value Added Tax (VAT) on our car rentals, as required by US regulations. For a complete list of taxes and fees, please refer to our full Terms and Conditions.

Age Restrictions

  • The minimum age to book a car rental is 19 years old though some restrictions may apply based on the car category.
  • Drivers below the age of 25 may be subject to a young driver surcharge.
  • The minimum age is 21 years old for rentals originating in Maui, Newark and Vernal and the young driver surcharge will apply.

Additional Drivers

An additional person may drive the rented vehicle with the renter's consent. The renter is completely accountable for any issues or damages from the additional driver's use of the vehicle. Additional charges may apply for each extra driver, depending on the car category and rental policies.

Driving License

The primary driver's license must be valid for at least one year from the rental date. At the time of pickup, all renters must present a valid driver's license (a US license or a country license accompanied by an International Driver's Permit and a passport).

International Renters

Individuals with a primary residence outside of the United States are considered international renters. Your primary residence will be determined by the address on your valid driver's license.Sailcost.com reserves the right to enforce specific rules for international renters that do not apply to local renters. When picking up your vehicle, international renters must meet all of the following requirements:
  • A valid driver's license from your native country.
  • A valid passport that corresponds to the name on your driver's license.
  • A valid contact number in case of an emergency while the vehicle is rented.

Cash Rental Deposit

A cash rental deposit may be required depending on the car category. Please check the booking details before confirming your reservation for more information.

Accepted Cards

We accept all major credit, debit and prepaid cards including American Express, Visa and Mastercard. Please read our full Terms and Conditions before booking for specific details on accepted payment methods.

Website Vehicle Display and Availability

The vehicles shown on the Sailcost.com website or its partner sites are for illustrative purposes only. They represent the type of car available within a specific class. We cannot guarantee a specific vehicle model at the time of pickup, as our fleet varies by location, date and other factors.

Insurance

Various insurances including Deductible Loss Damage, Rental Liability, Supplemental Liability and RSA, may be applied according to relevant US laws. For precise details on insurance policies, please review your booking details before renting.

Mexico Insurance

You may purchase car insurance for travel in Mexico. Mexico insurance can only be acquired before entering Mexico. This coverage is only valid in Mexican cities/states nearest to the California and Arizona borders. Rates start at $31.00 for 24 hours, plus taxes. All other cars are not permitted to enter Mexico. Vehicles rented from Maui, Newark and Vernal are not covered by this policy.

One-Way Rentals

One-way rentals are available at specific locations and are subject to the car category, availability and local rules. One-way car rentals originating in Florida must remain within the state of Florida. The drop-off fees for one-way rentals vary depending on local policies and laws.
  • One-way rentals from Newark to JFK Airport are available but a drop-off charge will apply.
  • One-way rentals between Maui and Vernal may not be available.

Fees and Cancellations

All charges including car rental fees, taxes, service fees and surcharges, are non-refundable unless stated otherwise. You will forfeit the full amount paid if you cancel your car rental booking.
You must present the same credit or debit card used for the reservation at the time of pickup. If the original card is lost, stolen or has been replaced and cannot be shown, you will be required to re-process your booking at the pickup location. We may waive the original cancellation fee in this case.

Reservations and Modifications

Sailcost.com car rental bookings cannot be changed or modified. You must cancel your existing reservation and make a new one at the current rental prices if you need to make any changes.
Changes to your pickup or drop-off dates or location will result in the cancellation of your original reservation and the creation of a new one, with new pricing.
Optional products like insurance, car seats or GPS may be added or canceled without additional surcharges, depending on the car category and availability.
Sailcost.com Car Rentals are subject to all Sailcost.comTerms and Conditions, as well as the individual rental policies of the relevant vendors. This includes policies for early/late returns, extensions and third-party reservations made outside of the Sailcost.com website.

Other Services

Child Safety Seats

In California, state law requires children aged eight and younger or those weighing less than 80 pounds to use a child restraint device. Similarly, in Arizona, children under the age of five must be secured in a child safety seat. Drivers with children must follow all current state and city laws on child passenger safety. Child safety seats are not available for rentals based in Vernal.
Sailcost.com is not liable for any issues that may arise from your inability to follow the required child safety laws and guidelines.

Geographic Restrictions

  • Vehicles rented in Arizona, California, Colorado, Idaho, Kansas, Nebraska, Nevada, New Mexico, Oklahoma, Oregon, South Dakota, Texas, Utah, Washington and Wyoming are only valid for travel within those states.
  • Car rentals originating in Florida may only be driven within the state of Florida.
  • Rentals originating from the state of Texas can only be driven in Arkansas, Louisiana, New Mexico, Oklahoma and Texas.
  • Rentals from Illinois can only be driven in Illinois, Wisconsin, Iowa, Indiana, Missouri and Kentucky.
  • Vehicles rented in New Jersey can be driven into Canada. A passport is required to enter Canada. Note that Canadian customs and excise regulations restrict Canadian passport holders from driving rental vehicles from the US to Canada and back.
  • Vehicle rentals originating in Maui are only permitted on public roads.
  • Vehicle rentals from Vernal, Utah can only be driven within the state of Utah. Travel outside of Utah is permitted with prior consent. When driving outside of Utah, mileage is limited to 300 miles per day, with an additional price of $0.25 per mile.
  • us car rentals are permitted in Mexico only if you have Mexico insurance. Please see the Mexico Insurance section for more information on permitted areas.
  • Vehicles rented in Washington are only permitted to travel into British Columbia and Canada. All other provinces are prohibited.
